Getting started
Add your products
Products, variants, barcodes, categories, and importing from Excel.
Your products are what you sell, with their prices, codes and stock. Add them one by one, or bring them all in from Excel, CSV or a Google Sheet.
Note: The menu name follows your kind of business. A pharmacy, for example, sees Medicines instead of Products.
Add a product
- Open Products and tap Add product.
- Under Type, choose:
- Single product: one price and one stock.
- With variants: sizes, colours, models and so on.
- Service: sold, but never stocked.
- Under Details, type the Name. Pick a Category and Brand, or add a new one right there. Add a Short description, Description and Tags if you like.
- Under Images, tap Add image. The first image is the main one.
- Under Pricing, type the Selling price. Add a Sale price for a discount, and the Purchase (wholesale) price so Aiyaar can work out your stock value and profit.
- Under Units & tax, choose how it is Sold by (piece, kg, box…) and its Tax.
- Under Inventory, keep Track stock on to count stock in each shop. Type the opening stock Quantity and Reorder at, the level at which Aiyaar warns you that stock is low.
- Under Status, choose Active, Draft or Archived in Visibility. Tick Featured to highlight it in your online store.
- Tap Create product.
Opening stock goes into the shop chosen in the shop box at the top of the dashboard. To add stock later, use a purchase or Inventory. See Suppliers and purchases and Inventory.
Some kinds of business also see a Specifications card, with fields such as generic name or material. If you sell items with expiry dates, see Batches and expiry.
Variants
- Choose With variants as the type.
- Under Variants, pick the values the item comes in, for example sizes M, L and XL and colours Black and Blue. Clothing shops can tap Add Size and Colour options to get both in one go.
- Tap Generate variants. You get one row for each mix, such as "M / Black".
- Give each row its own SKU, Barcode, Price and opening stock if you need to. An empty price uses the product's price.
Barcodes and labels
Under Codes, every product has a SKU and a Barcode. Leave the SKU empty and Aiyaar makes one. For the barcode, type the maker's barcode, or tap the barcode button to make an in-store one you can print.
To print labels:
- Open Products → Print labels.
- Tick the items you want.
- Under Code type, choose Barcode or QR code.
- Choose the Paper: Sticker roll for a label printer, or A4 sheet. Set the sticker size in mm and Copies each.
- Tick Name and Price to print them on the label.
- Tap Print. In the print window, set margins to None and scale to 100%.
The POS scans these labels. See Sell with the POS.
Categories, brands and units
Catalog setup in the menu holds the lists your products use:
| Tab | What it is for |
|---|---|
| Categories | Groups of products. A category can have sub-categories. |
| Brands | Who makes the product. |
| Attributes | Extra fields, like Size, Material or Generic name. |
| Units | How you count and sell: piece, kg, box. Tick Allow fractions for amounts like 1.25 kg. |
| Tax rates | The taxes you charge. See Set up your business. |
Import from Excel, CSV or Google Sheets
- Open Products and tap Import.
- Not sure about the columns? Tap Download Excel example or Download CSV example. It has the right columns for your kind of business, sample rows and a "How to fill" tab.
- Drop your .xlsx or .csv file in the box (up to 5 MB and 2,000 rows). Or paste a Google Sheets link and tap Read sheet. In Google Sheets, first set Share to "Anyone with the link" as Viewer.
- Check every row. Rows with a problem are marked in red. Fix them or delete them, then tap Check again.
- Choose the shop in Stock goes to.
- Tap Publish.
Good to know:
- Name and Price are the only columns you must fill.
- A product that already exists (same SKU, barcode or name) is updated, not added twice.
- Rows with the same name and a different Size or Colour become one product with variants.
- New categories, brands and units are created for you.
Export
On Products, tap Export and choose Excel (.xlsx), CSV or PDF. You get the list as it is filtered on screen.
Demo products
To see how your online store looks before you add your own items, turn on Demo products in Online store → Store & theme. It adds 12 sample products for your kind of business. Turn it off to take them out; your own products stay. See Your online store.
Deleting a product
Tap the bin next to a product. A product that has stock history is archived instead of deleted, so your past sales stay correct.
