Turfs and sports venues

When you choose Turf & Sports Venue as your kind of business, Aiyaar gives you Bookings: a calendar for your grounds, booking at the counter and online, QR check-in, teams and live scores, tournaments and memberships.

#Where to find it

Open Bookings in the dashboard menu (on a phone, tap the ☰ button at the top). The tabs at the top are Calendar, All bookings, Matches, Teams, Tournaments, Members, Reports and Grounds & prices. On a phone, swipe the tab row to see them all.

#Grounds and prices

Add each turf or court once.

1. Open Bookings → Grounds & prices and press Add a ground.
2. Enter the Name (Turf A) and Size / type (5-a-side, Cricket net…), and pick the Sports.
3. If you have more than one shop, choose the Venue (shop). Its bookings' cash and reports go there.
4. Set Opens, Closes and the Slot length (30 minutes to 2 hours). A closing time before the opening time means after midnight.
5. Enter the Price per hour.
6. Under Peak hours & weekend prices, add a different price for some days and times, for example "Evening" from 17:00 or "Weekend". Where two apply, the higher one counts.
7. Set the Advance for online bookings, as a % of the price or a fixed amount. 0 means they pay at the turf.
8. Tick the Facilities, add Photos, a short About this ground and, if you like, a YouTube or Facebook Video.
9. Save. The ground is bookable at once.

Turn off Open for booking to stop new bookings, for example while it is closed for repairs.

#The calendar

Bookings → Calendar shows your grounds by day, week or month. Use the arrows or pick a date to move around. The colours show:

• Free: tap to book
• Booked
• Waiting for the advance: an online booking still being paid
• Checked in
• Peak price times

A booking with money still to pay shows how much is due. Tap a booking to open it.

#New booking at the counter

1. Tap a free slot, or press New booking.
2. Check the Ground and Day, and pick the Start time and How long. The price shows as you choose.
3. Enter the customer's Name and Mobile. Their bookings and dues add up under the mobile number.
4. Choose how they Came by: Walk-in or Phone.
5. Enter what they Paid now, how (Paid by) and any Discount. The rest stays due.
6. Save.

If the mobile number belongs to a member, Aiyaar shows their plan, hours left and discount, and can use the membership for this booking.

#Repeating bookings

For a regular team, tick Same time every week and enter the Weeks in all. Aiyaar books every week. If a week is already taken, it tells you which ones were not booked.

#Online booking

Your online store gets a Book a slot page. Players pick a ground, a day and a time, enter their name and mobile, and pay:

• At the turf, when no advance is asked, or
• the advance (or the full price) by bKash, card or mobile banking.

The time is held for 20 minutes while they pay. Players can also use a coupon code or a friend's invite code. Online bookings appear in your calendar by themselves. See Your online store.

#Booking pass and QR check-in

Every booking has a Booking pass with a QR code. The customer gets it when they book online, and you can share it with Copy check-in link from the booking.

At the gate:

1. Scan the customer's QR code with a staff phone signed in to Aiyaar.
2. The Check in page opens with the booking, price, paid and due.
3. Press Check in. If money is due, press Take … in cash first.

You can also open the booking in the calendar and press Check in. After play, customers can rate the turf from their pass.

#Change, cancel or refund a booking

Open the booking. You can:

• Take payment for what is still due.
• Move it to another ground, day or start time. The length and price stay the same.
• Mark a No-show once the time has started.
• Set up a match for this booking.
• Cancel booking: write why, and how much to Refund. Refund less to keep the advance.

In Grounds & prices, the Changes by customers card sets what players can do themselves from their pass:

• Online until: how long before play they can move or cancel. Choose Not online: they call to turn it off.
• When they cancel: Keep the advance or Refund what they paid. With a refund, you are told to send the money back by bKash or cash.

#Close time

For maintenance, an event or a holiday, press Close time on the calendar. Pick the grounds, the Day, From and Until, and a Reason. Nobody can book that time, online or at the counter.

#All bookings and reports

All bookings lists every booking. Search by name, mobile or booking number, and filter by date, status and ground.

Reports (for staff who can see reports) shows, for the dates you pick:

• Bookings, Money in, Still due and Cancelled / no-show;
• How full each ground was;
• Busy hours and Busy days, to see where a peak price pays;
• How they booked (online, walk-in, phone) and your Regulars.

#Teams and matches

In Bookings → Teams, press Add a team. Add its name, colour, logo, captain's mobile and Players with shirt numbers. The Players table counts goals, assists, cards and man of the match from your matches.

To set up a match, open Matches and press Set up a match (or use Set up a match on a booking):

1. Pick the Home team and Away team. Leave the away team empty to post an open challenge, Looking for an opponent, on your turf's page.
2. Set the Day, Kick-off, Ground, Halves and Minutes each.
3. Tick Public to show it on your turf's page on Aiyaar Turfs.

#The scorer screen

Open the match on your phone to keep the score:

1. Tick who plays under Line-ups.
2. Press Kick-off. Use Pause, Resume, End 1st half and Start 2nd half.
3. Tap Goal, Own goal, Yellow card, Red card, Foul, Substitution or Note for a team, and pick the player and minute.
4. Made a mistake? Tap the bin on the Timeline to undo.
5. Choose the Man of the match, and press End match at the end.

Press Live link to share the score. Anyone with the link, or who scans its QR code, follows the match live, with the timeline and line-ups. Share it in the team's WhatsApp group.

#Tournaments

1. Open Tournaments and press Start a tournament.
2. Choose the Format: Knockout, League (everyone plays everyone) or Groups, then knockout.
3. Set the first match day, kick-off, time between matches, the Ground, Most teams, the Entry fee per team, the Prize and the Rules.
4. Tick Public and Teams sign up online if you want.
5. Press Open sign-up and share the Public link. Teams sign up there, and you Approve or Turn down them. You can also Add team yourself and Take fee.
6. Press Make fixtures and start. Aiyaar makes the fixtures.

Keep each match live from its scorer screen. The table, bracket and top scorers update, and the next knockout round is made when a round ends.

#Members and rewards

In Bookings → Members:

1. Press Add plan. Give it a Name (Gold), a Kind (Monthly, Weekly, Package of hours or Corporate), a Price, how many days it Lasts, Hours of play and % off bookings.
2. Tick Sold online to let signed-in customers buy it on your booking page.
3. Press Sell membership to sell one at the counter, by the customer's mobile.

Members' bookings use their hours and discount by themselves. Filter members by Active, Ending within 7 days, Expired and more, or cancel a membership (what was paid is refunded).

The Rewards card shows loyalty points (switched on in Settings) and Invite a friend: each player gets a code on their pass, and both players get points when a new player books with it. See Marketing.

#Aiyaar Turfs

Aiyaar Turfs (aiyaar.ltd/turfs) is where players search for turfs near them that are free at the time they want, then book on your page. Bookings and payments come to you as usual.

To appear there:

1. Publish your online store.
2. Set your venue on the map in Settings → Shops.
3. In Grounds & prices, switch the Aiyaar Turfs card to Shown.

Public matches and tournaments also show on your turf's page there.
