Reports and profit
Sales, products, stock, payments, and profit and loss.
Reports answer the big questions about your business: how much you sold, what you made, what sells best, what your stock is worth and what you owe. They use your sales, purchases and expenses, so there is nothing extra to type.
Open reports and pick the dates
- Open Reports in the menu.
- Choose a report from the tabs: Sales, Profit & loss, Products, Inventory, Customers, Purchases, Payments or Tax.
- Choose the period at the top: Today, Last 7 days, Last 30 days, Last 90 days or Last 12 months. Or set your own From and To dates.
- If you have more than one shop, choose one shop or All my shops.
Reports open on the last 30 days. On a phone, swipe the row of tabs sideways to see them all.
The reports
| Report | What it shows |
|---|---|
| Sales | Net sales, Gross profit, Average order and Returns, with a chart you can show Daily, Weekly or Monthly, and a table with orders, sales, returns, tax, cost and profit for each period |
| Profit & loss | Revenue, cost of goods sold, gross profit, expenses by category and Net profit |
| Products | Best sellers, sorted By revenue, By quantity or By profit, with cost, profit and margin for each |
| Inventory | Stock at cost, Stock at selling price, low and out-of-stock counts, expired batches and Stock value by category |
| Customers | New customers, what is Owed to you, and Top customers in this period |
| Purchases | What you Bought, Paid and what is Still owed, by supplier |
| Payments | Money in and out by method: received, refunded, paid to suppliers, expenses and net, for cash, card, mobile pay and others |
| Tax | Tax collected on sales, Tax paid on purchases and Net payable, split by tax rate |
Note: The Inventory report always shows your stock as it is right now, for all your shops, so it has no date or shop picker.
Profit and loss
Reports → Profit & loss is laid out like a statement:
- Revenue: your sales, without tax and returns.
- Plus Delivery charges.
- Less Cost of goods sold: what the sold items cost you.
- That gives Gross profit.
- Less your Expenses, by category, gives Net profit.
Next to it you see your Gross margin, the Discounts given and the Tax collected. Tax is money you owe to the tax authority, so it is not profit.
Khata profit, month by month
Khata → Profit & loss shows one month at a time and also adds your other income, such as service charges or rent you receive. Money the owner puts in and loans are shown apart, because they are not earnings. Use it to see what you really made each month. See Digital khata.
Tip: Profit is only right when your products have a purchase price. Add it when you create a product, or receive stock through a purchase, which fills it in for you. See Suppliers and purchases.
Quick numbers on the dashboard
The Dashboard shows Sales today, sales This month with its gross profit, what is Owed by customers, your Stock value (cost), and how many items are Low stock or Out of stock. Open a report when you need the detail.
Other places with numbers
- Khata → Cash book: money in and out, day by day, with your balance. See Digital khata.
- Khata → Baki: who owes you and whom you owe. See Baki and reminders.
- Inventory → Movements: every change to your stock. See Inventory.
- Expenses: every cost, with a total for any dates. See Expenses and income.
Who can see reports
Only staff whose role lets them view reports see the Reports menu. A cashier, for example, usually does not. See Staff and roles.
