Backups and your data

Back up, export and take your data with you.

Your data belongs to your business. Aiyaar keeps it safe for you, and you can take a copy of the important parts yourself at any time. This page shows what you can save, and how Aiyaar protects you from losing things by mistake.

Save a copy of your products

Your product list is often the biggest piece of work in Aiyaar. Keep a copy of it now and then.

  1. Open Products.
  2. Tap Export.
  3. Choose Excel (.xlsx), CSV or PDF.

You get the list as it is filtered on screen, so clear the search first. The list shows active and draft products; choose Archived in the status box to export the archived ones too.

The Excel and CSV files use the same columns as Import. So you can open the file in Excel or Google Sheets, change prices or add rows, and bring it back with Products → Import. Products that already exist are updated, not added twice. See Add your products.

Tip: Export before you make a big change, such as new prices for every product. If something goes wrong, you still have the old list.

Save invoices and receipts

  • Orders: open an order and tap Invoice or Receipt to print it. In the print window, choose "Save as PDF" as the printer to keep a file instead. See Orders, returns and exchanges.
  • Invoices: open an invoice and tap Print / Save as PDF. See Invoices.
  • Your Aiyaar bills: in Plan & billing, open an invoice and tap Download PDF. See Plan and billing.

Get a daily report by email

Turn on Email a daily closing report in Settings → Business. Every morning you get yesterday's sales, discounts, returns, VAT, money by payment method and each cash register's count. Over time your inbox holds a day-by-day record of your business, outside Aiyaar. See Set up your business.

What happens when something is deleted

Aiyaar is careful with your history, so past sales and reports stay correct:

  • Products: a product with stock history is archived, not deleted. You can find it again by choosing Archived in the status box on Products.
  • Shops: you can delete a shop only when it holds no stock, and its history is kept. Or untick Active to stop using it without deleting it.
  • Staff: when you delete a user, they lose access, but what they did stays in the history and the Activity log.
  • Roles: you can delete a role only when nobody has it.
  • Departments: removing one does not remove its people.

Settings → Activity log shows who changed money, stock and settings, and when, so you can see what happened.

Aiyaar's own backups

Aiyaar backs up its data regularly. If something important was deleted or changed by mistake, open Support as soon as you can and tell us what and when. See Help and support.

Note: The sooner you tell us, the better. Old backups are replaced by new ones over time.

Keep your account safe

Most lost data comes from someone else using your account. Turn on the sign-in code, give each staff member their own account and only the permissions they need. See Sign-in and security and Staff and roles.

Closing your account

If you want to close your business and have its data deleted, ask us in Support. Export your products and save the invoices you need first.
