Digital khata

The cash book: every taka in and out, day by day.

The Khata is your cash book on Aiyaar. It shows every taka that came in and went out, day by day, with the balance carried forward from one day to the next. Most of it fills itself as you work.

Open the cash book

  1. Open Khata in the menu. The Cash book tab opens first.
  2. Choose a period: Today, Last 7 days, This month, Last month or Custom dates.
  3. If you have more than one shop, choose one shop or Whole business.

At the top you see four figures:

  • Opening balance: what you had at the start of the first day.
  • Money in and Money out for the period.
  • Closing balance: what you should have at the end of the last day.

Each figure is also split by how the money is kept, for example cash, mobile pay and bank. So you know how much should be in the drawer and how much in bKash or the bank.

What lands in the khata by itself

You do not need to write down your sales. These are added for you:

Money in

  • Sales from the POS and your online store
  • Due collected: customers paying what they owed
  • Other income you add yourself
  • Received from people in your Baki accounts
  • Cash put in drawer at a cash register

Money out

  • Expenses, including monthly repeats like rent
  • Supplier payments
  • Given to people in your Baki accounts
  • Refunds
  • Cash taken from drawer at a cash register

The Where money came from and Where money went boxes show the total for each of these.

Note: Supplier payments and people's accounts belong to the whole business. When you choose one shop, they are left out.

Day by day

Below the figures is one line per day with its Opening, In, Out and Closing. The closing of one day is the opening of the next, just like a paper khata.

Tap a day to see every entry of that day: the time, what it was, who did it and the amount.

The Add income and Add expense buttons are at the top of the cash book. See Expenses and income.

Move money between cash, bank and mobile

When you deposit cash in the bank, or cash out from bKash, the money is still yours. It is not income and not an expense. Record it as a transfer so each balance stays right.

  1. Open Khata → Transfers.
  2. Tap Move money.
  3. Choose From and To, for example cash to bank transfer.
  4. Enter the Amount and the Date. You can also pick a Shop and add a Note.
  5. Tap Save.

In the cash book, transfers change the balance of each kind of money, but not the money in or out. Profit does not change.

Profit & loss

Khata → Profit & loss shows one month at a time, like a statement:

  • Sales, less Cost of goods sold, plus Delivery charges, gives Gross profit.
  • Plus Other income, less Expenses, gives your profit for the month.

Use the arrows to move to the previous or next month, and choose a shop if you have more than one. Income with the category Opening balance, Owner's money or Loan received is shown apart, under Not profit: owner's money & loans, because they are not earnings.

Tip: If some sold items have no purchase price, Aiyaar warns you that profit looks higher than it is. Add the purchase price to those products.

Who can see the khata

The cash book and profit need permission to view reports. Adding income, expenses and transfers needs permission to manage expenses. See Staff and roles.
