Getting started
Set up your business
Business profile and logo, shops and branches, receipts, taxes and currency.
Before your first sale, add your logo, check your country and currency, and set up your shops and receipts. Everything here is in Settings in the dashboard menu. On a phone, tap the ☰ button at the top to open the menu.
Business profile
- Open Settings. The Business tab opens.
- Under Business profile, tap Add logo (or Upload logo). Use a PNG or JPEG up to 5 MB. Your logo shows in the dashboard and on receipts and invoices.
- Check your Name, Email and Phone.
- Pick your Country. It sets the phone prefix, currency and time zone. You can change each of them after.
- Check Currency and Time zone. The time zone decides when your day starts and ends in reports.
- Tap Save.
Kind of business is the kind you chose at sign-up. To change it, tap Request a change, choose the new kind (or type one) and tap Send request. Aiyaar approves it and emails you. Your products, stock and sales stay as they are.
Features
The Features card lists the tools your kind of business can use, for example the POS, inventory, the online store or batches and expiry. Switch on only what you need. Menus for features that are off are hidden.
- Ask Aiyaar means Aiyaar must turn the feature on for you. Ask in Settings → Requests. See Help and support.
- Granted by Aiyaar means it is on for you, and you can switch it off and on.
Selling, receipts and invoices
In the Selling, receipts & invoices card:
- Sell when stock shows zero: lets a sale go through even when the system shows no stock. Off is safer.
- Publish reviews straight away: when off, you approve each product review first.
- Email a daily closing report: every morning you get yesterday's sales, discounts, returns, VAT, money by payment method and each cash register's count. In Send it to, add up to 5 emails, or leave it empty to send it to the owner.
- Tax registration number: printed on invoices.
- Receipt footer: a short line at the bottom of receipts, such as your return policy or a thank-you.
- Invoice note: payment terms or bank details.
Tap Save when you are done.
If you use invoices, the Invoice card lets you choose a Template and a Colour, with a preview. See Invoices.
Customer points
In Customer points you can turn on Give customers points. Customers earn points on POS sales and spend them at the counter. Set Spend per point, Points for one reward and Reward: money off. See Customers and loyalty.
Shops and branches
Every business starts with one shop, Main Shop. Each shop keeps its own stock, and staff work only in the shops you give them.
- Open Settings → Shops.
- Tap Add shop, or the pencil next to a shop to edit it.
- Fill in Name and Code (2 to 16 letters or digits, for example DT01).
- Add City, Street address, Phone and Email.
- Under Location on the map, put a pin where the shop is. You can:
- tap Find address to find the address you typed,
- tap I'm at the shop to use this device's location,
- paste the shop's Google Maps link, or
- tap the map.
- Tap Save.
Riders pick up delivery orders at the pin, so put it at the shop's door. A shop with no pin shows not on the map yet.
You can untick Active to stop using a shop. You can delete a shop only when it holds no stock; its history is kept. Your plan decides how many shops you can have. See Plan and billing.
Tip: With more than one shop, choose the shop you are working in from the shop box at the top of the dashboard.
Taxes
Tax rates are in Catalog setup → Tax rates.
- Tap Add.
- Type a Name (for example "VAT 15%") and the Rate (%).
- Tick Prices include this tax if your prices already include it. Leave it off to add the tax on top.
- Tick Default for new products to use it on new products.
- Tap Save.
Then choose the tax on each product under Units & tax. See Add your products. The Reports section has a tax report. See Reports and profit.
