Stock and buying

Inventory

Stock per shop, low-stock warnings, transfers and counts.

Inventory shows how much of each item you have in each shop, warns you before something runs out, and keeps a record of every change to your stock: who made it and why.

See your stock

  1. Open Inventory in the menu.
  2. The Stock tab lists every item with its On hand quantity and a status: In stock, Low or Out of stock.
  3. Search by name, SKU or barcode, or use the filter to show only Low stock or Out of stock items.

If you have more than one shop, the list shows the shop you are working in. Pick All my shops to see every shop at once, with the quantity in each shop.

Note: Stock goes down by itself when you sell, from the POS or your online store, and goes up when you receive a purchase. You only change it by hand for things like damage or a count.

Low-stock warnings

Give an item a Reorder at level, and Aiyaar marks it Low when the stock in that shop reaches that number or goes below it. You also get a note in the bell at the top of the dashboard.

  1. On the Stock tab, tap the settings button (the sliders icon) on the item's row.
  2. Enter Reorder at. Leave it empty if you want no warning.
  3. Optional: enter a Bin / shelf so staff know where the item is kept.
  4. Tap Save.

You can also set Reorder at when you add or edit a product. See Add your products.

Add or remove stock for one item

  1. On the Stock tab, tap Restock or Remove on the item's row. On a phone these buttons show only a + and a −.
  2. Choose a Reason:
    • To add: Restock (received), Returned to shelf, Opening stock or Correction.
    • To remove: Damaged, Expired or Correction.
  3. Enter the quantity. The +10, +50 and +100 buttons help with big numbers. You see the Stock after before you save.
  4. When adding, you can enter the Cost per unit, so profit reports stay right.
  5. Add a Note if it helps, then tap Add stock or Remove stock.

Adjust many items or do a stock count

Use Adjust stock when you change several items at once, or when you count the shelf.

  1. Tap Adjust stock at the top of the Inventory page.
  2. Choose the Shop and the Reason.
  3. Search for each item, or scan its barcode, to add it to the list.
  4. For a stock count, choose the reason Correction, then set Enter to Stock count. Type what you counted, and Aiyaar sets the stock to that number.
  5. Tap Save adjustment.

Tip: If your count matches what Aiyaar already had, nothing changes and you are told so.

Move stock between shops

If you have two or more shops, you can move stock from one to another. The stock leaves one shop and arrives in the other at once.

  1. Tap Transfer at the top of the Inventory page.
  2. Choose From and To.
  3. Add the items and the Quantity of each. You cannot send more than the shop has.
  4. Tap Transfer stock.

Every transfer gets a number and is listed on the Transfers tab. Tap one to see what was moved.

Stock history

The Movements tab is the full history of your stock, newest first: sales, purchases, returns, transfers, damage, counts and more. Each line shows the change, the balance after it, the shop and who did it.

  • Filter by shop or by type, for example only Damaged or Transfer in.
  • Search for one item to see its whole history.

Stock value

The Dashboard shows Stock value (cost), along with how many items are low or out of stock. For more detail, open Reports → Inventory to see your stock at cost and at selling price, by category. See Reports and profit.

Batches and expiry dates

Pharmacies, grocery shops and other businesses with batch tracking also see a Batches & expiry tab here. See Batches and expiry.

Note: If you do not see Inventory in the menu, it may be turned off for your business, or your role may not allow it. The owner can switch it on under Settings. See Staff and roles.
