Money
Baki and reminders
Who owes you, due dates, and WhatsApp reminders.
Baki is your list of who owes you and whom you owe. It brings together people you give to on credit or borrow from, customers with unpaid sales, and suppliers you have not paid yet. It also reminds you when money is due.
Open the Baki khata
Open Khata → Baki. At the top you see two totals:
- You will receive: what customers and people owe you.
- You will pay: what you owe suppliers and people.
Below them are three lists: People, Customers and Suppliers.
People: accounts you keep by hand
Use People for anyone you give goods or money to on credit, or borrow from, the way you would in a paper khata.
Add a person
- Open Khata → Baki → People.
- Tap Add person.
- Enter the Name. Add a Phone so you can send WhatsApp reminders.
- Tap Save.
Write an entry
- Tap the person's name to open their account.
- Tap Gave (দিলাম) when you give goods or money. They owe you more. Tap Got (পেলাম) when you receive money or goods. They owe you less.
- Enter the Amount.
- Under Money, choose how the money moved, for example cash or mobile pay. This entry then shows in your cash book. If no money moved, for example you gave goods on credit, choose Baki only (no money moved). Then only the balance changes.
- Check the Date. When you give, you can set a Due date: the day it should be paid back.
- Tap Save.
The account shows every entry with Gave, Got and a running Balance. A person's balance shows how much they owe you, how much you owe them, or Settled. Use the filter to see Everyone, You will receive, You will pay or Settled.
Note: When a person pays you, the money clears their oldest baki first, just like a paper khata. So a late entry stays late until it is fully paid.
You can delete a person only when their balance is zero, so no debt is lost.
Customers: unpaid sales
Customers lists every customer with sales that are not fully paid: the number of Unpaid orders, the oldest one, and the total Due. Sales on credit appear here by themselves until they are paid.
To take a payment, open the order and tap Receive payment. See Orders and Customers.
Suppliers: what you owe
Suppliers lists every supplier you still owe money to, with You owe. Tap a supplier to open their page and pay. See Suppliers and purchases.
Set a "Pay by" date at the POS
When a customer does not pay the full amount at the POS, the rest becomes baki. A customer must be chosen to sell on credit.
- In the payment window, enter what the customer paid now.
- Under Pay by (optional), tap 3 days, 7 days, 15 days or 30 days, or choose a date.
- Finish the sale.
That date shows on the order and in the Baki khata, and you get a reminder that morning. You can change it later on the order with Change due date. See Sell with the POS.
To collect: late, today and this week
When any baki has a due date, a To collect box appears at the top of the Baki page. It shows totals for:
- Late: the due date has passed.
- Due today
- This week: due in the next seven days.
Each line shows the person or customer, when it is due (for example "3 days late" or "Tomorrow") and the amount. Tap Show all to see the full list.
Send a reminder on WhatsApp
Tap Remind next to a name. WhatsApp opens with a polite message, ready to send. It is written in your business's name and includes the amount and the due date, for example "is due today" or "was due on 25 Oct".
Remind shows only when the person or customer has a phone number. It is in the To collect box, the People and Customers lists, and inside a person's account.
The 9 am reminder
Every morning at about 9 am, if any baki is due today or late, you get one note in the bell at the top of the dashboard. If you have turned on notifications, it comes to your phone too. It tells you how much to collect today and who, and how many are late. Tap it to open the Baki khata and send your reminders.
Tip: Set a due date on every credit sale. Then Aiyaar remembers to ask for the money, so you do not have to.
