Invoices

Invoices with a due date, sent by link, WhatsApp or email.

An invoice is a sale to a known customer, with a date by which they should pay. Aiyaar keeps every invoice in one list, shows what is still owed and what is late, and lets you send the invoice to the customer in a tap.

The invoices list

Open Invoices in the dashboard menu (under Sell). On a phone, tap the ☰ button first.

Note: If you do not see Invoices, turn the feature on in Settings → Business, under Features.

At the top you see two totals:

  • Outstanding: all the money customers still owe you on invoices, and how many are unpaid.
  • Overdue: the money that is past its due date.

Every order or sale with a customer appears here, including sales from the POS. Use the buttons All, Unpaid, Overdue and Paid to filter, or search by invoice number, customer or phone.

Each invoice has a status:

StatusWhat it means
PaidPaid in full
Part paidSome money received, some still owed
UnpaidNothing paid yet, not late
OverdueNot fully paid and the due date has passed

Create an invoice

  1. In Invoices, tap New invoice.
  2. Search for items by name, SKU or barcode and add them.
  3. Choose the customer. An invoice needs a customer.
  4. Check the Due date. It is set to one week from today; change it or leave it empty for no due date.
  5. If the customer pays something now, type it under Payment received now (optional).
  6. Add a Note if you like.
  7. Tap Create invoice.

Items leave stock when the invoice is saved. Customer group discounts are added by themselves.

Send an invoice

  1. In the list, tap the send button on the invoice's row. Or open the order and tap Send invoice.
  2. Choose how to send it:
    • Email: the customer's saved email is filled in. Tap Send.
    • WhatsApp: opens WhatsApp with a message and the link, ready to send to the customer's number.
    • Copy link: copy the link and paste it anywhere, for example in Messenger or an SMS.
    • Open: see the invoice as the customer will see it.

The customer opens the link without signing in and can print it or save it as a PDF. The link works for a limited time; the date is shown under it. If it has expired, send the invoice again to get a new link.

When the customer pays

  1. Open the invoice from the list (it opens the order).
  2. Tap Receive payment, choose the method and amount, and tap Save payment.

The status changes to Part paid or Paid. To change the due date, tap the calendar button at the top of the order. See Orders, returns and exchanges.

Open the order and tap Invoice to print it on A4 paper.

Choose your invoice design

  1. Open Settings → Business and find Invoice.
  2. Pick a Template:
    • Classic: black lines, colour on the title. Prints well anywhere.
    • Modern: a colour band across the top and a coloured table header.
    • Minimal: thin lines, colour only on the total.
    • Bold: a big coloured title and a highlighted balance due.
  3. Pick a Colour, or choose any colour you like. The Preview shows how it looks.
  4. Tap Save.

The design is used everywhere: printed invoices, and the link and email your customers get.

In Settings → Business, under Selling, receipts & invoices, you can also add your Tax registration number and an Invoice note such as payment terms or bank details. Both print on every invoice.

Tip: To follow up on late payments, see Baki and reminders. To see who owes you the most, open the customer's page in Customers and loyalty.
